RETURNS, REFUNDS & RESTOCKING POLICY
This Returns, Refunds & Restocking Policy (“Policy”) governs requests for product returns, exchanges, credits, refunds, and restocking procedures for products purchased from Western Helix LLC d/b/a Western Helix Supplies (“Western Helix,” “Company,” “we,” “our,” or “us”).
This Policy applies to all customers, orders, standing-order programs, deliveries, and transactions unless otherwise agreed in writing.
1. Policy Overview
Western Helix is a distributor of products manufactured by third parties.
Because many products supplied are consumable, hygiene-related, safety-related, regulated, or special-order items, not all products are eligible for return.
Return eligibility is subject to this Policy and any applicable manufacturer or supplier requirements.
2. Return Authorization Requirement
No product may be returned without prior authorization from Western Helix.
Customers must contact Western Helix to obtain return approval before shipping or presenting products for return.
Unauthorized returns may be:
· Refused;
· Returned to sender;
· Disposed of; or
· Subject to additional handling charges.
3. Inspection Upon Delivery
Customers are responsible for inspecting products promptly upon delivery.
Customers should verify:
· Product quantities;
· Product condition;
· Product specifications;
· Product accuracy;
· Visible shipping damage.
Claims for shortages, damage, or incorrect products must be reported within five (5) business days after delivery.
Failure to report within this period constitutes acceptance of the shipment.
4. Eligible Returns
Subject to approval, products may be eligible for return when:
· Incorrect products were delivered;
· Products were damaged during transit;
· Products arrived defective;
· Products were shipped in error by Western Helix;
· Return eligibility is approved by Western Helix and applicable suppliers.
Eligibility is determined on a case-by-case basis.
5. Conditions for Approved Returns
Approved returns must generally:
· Be unused;
· Be unopened;
· Be in original packaging;
· Be free from damage;
· Be in resalable condition;
· Include original labels and documentation;
· Include proof of purchase.
Products failing to meet these requirements may be denied return eligibility.
6. Return Request Timeframe
Unless otherwise approved:
· Return requests must be submitted within thirty (30) days of delivery.
· Damaged shipment claims should be submitted within five (5) business days.
· Defect claims should be submitted promptly after discovery.
Certain manufacturers or suppliers may impose shorter deadlines.
7. Non-Returnable Products
The following categories are generally non-returnable:
PPE Products
Including:
· Nitrile gloves
· Disposable masks
· Disposable gowns
· Disposable aprons
Opened Chemical Products
Including:
· Disinfectants
· Cleaning chemicals
· Soap refills
· Sanitizer refills
· Specialty cleaning products
Hygiene and Restroom Products
Including products where return may create contamination concerns.
Biohazard-Related Products
Including:
· Biohazard bags
· Similar regulated products
Special-Order Products
Products sourced specifically for a customer.
Custom Products
Products customized for customer requirements.
Clearance or Closeout Items
Products designated as final sale.
Discontinued Products
Products no longer supported by the manufacturer.
Western Helix reserves the right to designate additional products as non-returnable.
8. Manufacturer Restrictions
Certain returns are governed by manufacturer and supplier policies.
Where a manufacturer or supplier denies return authorization, Western Helix may be unable to accept the return.
9. Damaged Shipments
If products arrive damaged:
Customers should:
· Retain original packaging;
· Photograph damage;
· Document visible shipping issues;
· Notify Western Helix promptly.
Western Helix may request supporting documentation before processing claims.
10. Incorrect Shipments
If Western Helix ships incorrect products, customers should notify us promptly.
Western Helix may:
· Arrange replacement;
· Provide credit;
· Authorize return;
· Offer alternative resolution.
11. Defective Products
Defect claims may be subject to manufacturer review.
Western Helix may require:
· Product inspection;
· Manufacturer evaluation;
· Supporting documentation;
· Photographs;
· Batch or lot information.
Western Helix does not independently warrant products manufactured by third parties.
12. Restocking Fees
Approved returns may be subject to restocking fees.
Unless otherwise agreed:
Restocking fees may be up to twenty-five percent (25%) of the original purchase price.
Restocking fees may vary based on:
· Product category;
· Supplier requirements;
· Product condition;
· Return timing.
13. Return Shipping Costs
Unless Western Helix determines that the return resulted from Company error:
Customers are responsible for:
· Return shipping costs;
· Freight charges;
· Packaging expenses;
· Carrier fees.
Original delivery charges are generally non-refundable.
14. Refund Method
Approved refunds may be issued as:
· Account credit;
· Product replacement;
· Refund to original payment method;
· Other mutually agreed resolution.
Western Helix reserves discretion regarding the appropriate remedy.
15. Refund Timing
Approved refunds are generally processed within a reasonable period after:
· Product receipt;
· Inspection;
· Verification;
· Supplier approval where applicable.
Processing times may vary.
16. Standing Order Products
Products purchased through recurring standing-order programs are subject to this Policy.
Products already:
· Ordered;
· Allocated;
· Procured;
· Reserved;
· Shipped;
may not be eligible for cancellation or return.
17. Refused Deliveries
Customers refusing delivery without prior authorization may remain responsible for:
· Delivery costs;
· Return freight charges;
· Restocking fees;
· Supplier charges.
18. Credits and Adjustments
Western Helix reserves the right to issue account credits in lieu of refunds when appropriate.
Credits may be applied toward future purchases.
19. Fraud Prevention
Western Helix reserves the right to deny returns, refunds, or credits where fraud, abuse, misrepresentation, or improper use is suspected.
20. Limitation of Liability
To the maximum extent permitted by law, Western Helix shall not be liable for:
· Indirect damages;
· Consequential damages;
· Lost profits;
· Business interruption;
· Inventory shortages;
· Operational losses.
Any liability shall not exceed the amount paid for the affected product.
21. Policy Changes
Western Helix reserves the right to modify this Policy at any time.
Updated versions become effective upon publication.
